OpenAdmin, Inc. (“OpenAdmin,” “we,” “our,” or “us”) respects your privacy and is committed to protecting the information you share with us. This Privacy Policy describes how we collect, use, and share information when you visit our website, use our platform, application programming interfaces (APIs), and related services (collectively, the “Products”), and otherwise interact with us. This Privacy Policy applies to all information collected through the Products, as well as any other interactions you have with OpenAdmin.
By accessing or using the Products, you agree to this Privacy Policy. If you do not agree, you may not use the Products.
1. Information We Collect
We collect information in the following ways:
Account Information: When you register for an account or use the Products, we collect basic account details such as your name, email address, organization name, and login credentials.
Usage Information: We automatically collect certain information about how you access and use the Products, such as IP address, browser type, device information, pages visited, usage metrics, error logs, and cookies or similar technologies. This information helps us operate, secure, and improve the Products.
Customer Content: In the course of using the Products, you may upload or store data — such as fund data, investor information, or other business records (“Customer Content”). You retain ownership and control of all Customer Content. OpenAdmin does not access, review, monitor, or use Customer Content except as necessary to provide the Products, comply with legal obligations, or as otherwise expressly authorized by you (for example, when you grant our services team access as part of a services engagement).
Payment Information: If you purchase paid services, billing information is processed by third-party payment processors on our behalf. We do not store your full payment details.
2. How We Use Information
We use the information we collect solely to:
- Provide, operate, and maintain the Products and related services
- Authenticate users and manage accounts
- Communicate with you about service changes, updates, or support matters
- Monitor, detect, and prevent security incidents and fraudulent activity
- Improve and develop the Products, including by analyzing anonymized or aggregated usage trends
- Comply with legal and regulatory obligations and enforce our agreements
We do not use Customer Content for analytics, product development, or marketing. Any data we use for analytics is anonymized and aggregated to prevent identification of you, your organization, or your investors.
3. How We Share Information
We do not sell, rent, or lease your information. We may share limited information in the following circumstances:
Service Providers: We engage trusted third-party providers (such as cloud hosting, infrastructure, analytics, and support vendors) to help us operate and maintain the Products. These providers act on our behalf and are bound by confidentiality and data-protection obligations.
Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of OpenAdmin, our users, or others.
Business Transactions: If OpenAdmin is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to appropriate confidentiality protections.
We do not share Customer Content with any third parties except as directed by you or as required by law.
4. Customer Content and Confidentiality
You retain all rights, title, and interest in and to any Customer Content you provide through the Products. OpenAdmin does not claim ownership of Customer Content and does not access, monitor, or use it except:
- as necessary to operate, maintain, and secure the Products;
- as required by applicable law, regulation, or legal process;
- as expressly authorized by you in writing; or
- when you grant our services team access to your organization or environment for the purpose of assisting with data management, configuration, or ongoing services.
In cases where you choose to grant such access, OpenAdmin personnel may view or interact with Customer Content solely to perform the services you have requested, and they remain bound by strict confidentiality and data protection obligations.
For purposes of applicable data protection laws, you are the controller of Customer Content, and OpenAdmin acts solely as a processor on your behalf. Any metadata or usage analytics collected by OpenAdmin are aggregated or anonymized and cannot be used to identify you, your organization, or your investors. We do not sell, license, share, or otherwise use Customer Content for advertising, marketing, or model-training purposes.
Any such services performed by OpenAdmin personnel at your request will be governed by a separate services agreement, and all access to Customer Content in connection with those services will be subject to the terms of that agreement.
5. Data Security and Retention
We use industry-standard security measures to protect the information we collect, including encryption in transit and at rest, access controls, and regular monitoring for potential vulnerabilities.
We retain information only as long as necessary to provide the Products, comply with legal obligations, resolve disputes, and enforce our agreements. Upon termination of your account, we will delete or anonymize your information in accordance with our data retention policies, except where we are legally required to retain it.
6. Your Rights and Choices
You may access, update, or delete certain account information by logging into your account or contacting us directly. If you wish to request deletion of Customer Content or terminate your account, please contact us at the email below. We may retain certain information as required by law or for legitimate business purposes.
7. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the updated policy on our website or through the Products and updating the “Effective Date” above. Your continued use of the Products after the effective date of any changes constitutes your acceptance of the revised Privacy Policy.
